Terms and conditions for Inbound Tour

Booking

Your contract is established with Unit 9 Travel upon confirmation of your booking and receipt of the deposit amount.

Payment

A minimum deposit of 25% of the total cost is required to secure your booking with Unit 9 Travel.

Balance Payment

The remaining balance must be paid 15 days prior to the commencement of services. Bookings made within 15 working days of the service date will require full payment at the time of booking.

International clients can make payments via bank transfer (Telex Transfer) to our bank account.

Unit 9 Travel employees will never request your net banking login, password, OTP, or ask you to transfer funds to personal accounts or install third-party applications. Please report any such requests to riskcontrol@unit9travel.com.

Cancellation Policy

In the event of cancellation for any reason, written notice must be provided. Cancellation charges are as follows:

Refund Policy

Refunds for unused services will be processed according to the cancellation policy and may take 2-4 weeks due to banking procedures. Bank charges will be deducted from refunds made to credit or bank accounts.

Arrival and Departure Policy

Check-in: 12:00 PM - 3:00 PM (early check-in subject to availability).

Check-out: 10:00 AM - 12:00 PM (late check-out available on request and subject to availability).

Extra Vehicle Usage

Additional usage of vehicles (cars/coaches with drivers) is not included in the service package and is not permitted after transfers or sightseeing.

Helicopter Journeys

Helicopter tickets and fares are subject to availability and may change without notice. While Unit 9 Travel strives to ensure helicopter availability, cancellations due to weather or other unforeseen circumstances may occur. No tickets will be carried forward, and no accommodation or transport costs will be reimbursed due to helicopter cancellations.

Liabilities and Limitations

Unit 9 Travel is not responsible for any increases in entrance fees, taxes, or other costs after the finalization of the tour/service cost. Rates are based on current agreements with hotels and airlines, which may change without notice.

Unit 9 Travel acts solely as an agent for hotels, airlines, and other service providers. All tickets and contracts are subject to the terms and conditions of those providers. Itineraries are samples and may change due to various factors, including weather and road conditions.

Force Majeure

Unit 9 Travel is not liable for any failure to perform obligations due to events beyond its control, including acts of war, natural disasters, or pandemics. Both parties will make efforts to mitigate the effects of such events.

Jurisdiction Clause

All disputes arising from this agreement will be subject to the jurisdiction of Delhi Courts.

Special Notes

Terms and conditions for specific locations, group bookings, and helicopter journeys will be provided on a case-by-case basis.

Terms and conditions for Outbound Tour

Booking:

Your contract is established with Unit 9 Travel upon confirmation of your booking and receipt of the deposit. A contract is formed when we confirm your travel services and receive your deposit.

Payment:

A minimum deposit of 25% of the total cost is required to secure your booking with Unit 9 Travel. This deposit is necessary to confirm your reservation.

Balance Payment:

The remaining balance must be paid 15 days before the start of services. Bookings made within 15 working days of the service date will require full payment at the time of booking.

During peak seasons (e.g., Christmas, New Year), full payment may be required at the time of booking.

In some cases, additional advance payments may be necessary before the final balance is due, depending on supplier deadlines.

Note:

According to government regulations, a 5% Tax Collected at Source (TCS) applies to international holiday packages for cumulative spends up to ₹7 Lakhs in a financial year, and 20% for amounts exceeding ₹7 Lakhs.

TCS is not an additional cost; it can be fully adjusted against your income tax liability, and any excess can be claimed as a refund.

TCS credits will automatically appear in your Form 26AS quarterly, based on the PAN provided.

If you have no income tax liability, you can claim a refund of the TCS amount when filing your income tax return.

Once collected, TCS cannot be refunded in case of cancellation or modification. You can claim it as an adjustment against your income tax when filing your return.

Important Notes:

All payments must be free of withholding tax and deductions.

Any bank charges for remittance will be borne by the payer.

If paying via QR code with a credit/debit card, applicable bank charges will also be the responsibility of the payer.

Cancellation Policy:

All services, including airline seats, hotel accommodations, and ground transportation, are reserved upon booking. If you need to cancel, please notify us in writing. Cancellation charges are as follows:

In some cases, cancellation charges may vary and will be communicated separately.

A minimum service charge of 10% of the total tour package cost will apply for cancellations initiated by the client after booking.

If the company cancels the tour, clients will have the option of receiving a credit note for the booking amount or a refund after deducting a 10% service charge.

Refunds for unused services will depend on recoverable amounts from suppliers. Refunds will take at least 30 working days to process.

Refund Policy:

Refunds for amendments or cancellations will be processed directly to the client. No refunds are available for unutilized or partially utilized services.

Foreign exchange refunds will be issued in INR at the prevailing exchange rate. Third-party refunds may take 30 to 90 working days.

Exclusions:

The tour cost does not include gratuities, insurance, excess baggage charges, laundry, drinks, airport taxes, and personal expenses unless specified.

High Season and Special Events:

Special conditions apply for bookings during high seasons, trade fairs, and festivals, which will be communicated at the time of booking.

Scope of Services:

Unit 9 Travel acts as a travel organizer and does not control or operate airlines, hotels, or other service providers. We cannot be held liable for any injury, loss, or damage caused by independent contractors.

Hotel Policies:

Clients are responsible for their belongings at all times. The company is not liable for loss or theft from hotels or during travel. Any damages caused during the stay will be charged to the client.

Airline Policies:

The company is not liable for loss of baggage, meal quality, flight delays, or any issues arising from airline operations. Clients must adhere to airline terms and conditions.

Loss or Damage:

Unit 9 Travel is not responsible for personal belongings lost or damaged during the tour. Clients should report any theft or loss to local authorities.

Child Accommodation:

Children under 12 years booked at a special rate without a bed will not be provided a bed in hotels. Changes in rooming during the tour may incur additional charges.

Visa Rejection:

Clients must possess valid visas. The company is not responsible for visa rejections or delays caused by incomplete documentation.

Privacy Policy:

All client information is confidential but may be shared with service providers as necessary. Disclosure may occur if required by law.

Communication:

All communications sent to the contact details provided by the client will be deemed received. The company is not responsible for errors in communication.

Travel Conditions:

Prices are subject to change due to currency fluctuations and other factors. Clients must pay any price increases before departure.

The company is not liable for delays or cancellations due to unforeseen circumstances.

Other Terms:

Clients are defined as individuals making the booking. The company is Unit 9 Travel. No contract exists until the initial deposit is received.

Independent contractors include hotels, airlines, and other service providers. The company is not liable for any issues arising from their services.
